Unique Office Solutions are strongly committed to protecting personal data. This privacy statement describes why and how we collect and use personal data and provides information about individuals’ rights. It applies to personal data provided to us, both by individuals themselves or by others. We may use personal data provided to us for any of the purposes described in this privacy statement or as otherwise stated at the point of collection.
Personal data is any information relating to an identified or identifiable living person. The Company processes personal data for numerous purposes, and the means of collection, lawful basis of processing, use, disclosure, and retention periods for each purpose may differ.

Who we are
Established in 1995 with just two directors and four staff the Unique Group now have 30 employees.
We offer turnkey solutions in office design, refurbishment and education furniture. In addition to manufacturing and supplying a wide range of desking, seating and storage we also offer in-house CAD design and a full consultancy service to create layouts and supply products to suit.
Using the combined skills of our sales and support personnel, Unique offer the client an all embracing approach to refurbishment of large and small offices alike. All aspects of refurbishment are catered for including partitioning, air conditioning, flooring, ceilings and lighting. School and college classrooms and staff room fit outs, ICT suites and breakout areas are all in our remit.
We are proud to have achieved ISO 9001 status in 2008, ISO 14001 in 2010 and ISO 18001 in 2013. We also hold FSC chain of custody certification and FIRA certification to BS EN527 and BS 6396.
How do we collect information from you
We collect our information about you when we are asked to supply products or services to you. This may be at the quotation stage or when we request a purchase order from you.
What type of information is collected from you?
The personal information we collect may include your name, address, email address, company name and telephone number
The retention period for personal information is 7 years. We are legally required to hold some types of information to fulfil our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in the contract you hold with us.
How is your information used?
We may use your information to:
– carry out our obligations arising from any contracts entered into by us and you
– notify you of changes to our services
– send you any communications you may have requested
– process a job application

Law enforcement or other government and regulatory agencies or to other third parties as required by, and in accordance with, applicable law or regulation Occasionally, we may receive requests from third parties with authority to obtain disclosure of personal data, such as to check that we are complying with applicable law and regulation, to investigate an alleged crime, to establish, exercise or defend legal rights. We will only fulfil requests for personal data where we are permitted to do so in accordance with applicable law or regulation.
Payments
Any card payments we process will be carried out over the telephone and we would only ask for details as they appear on the card machine. Our calls are not recorded.

How we protect your information
Any details that are given to us by you are entered onto our in house accountancy system which we use to create invoices and delivery notes. Quotations we send out will also have personal information on. These are kept on our secure servers
We are legally required to hold some types of information to fulfil our statutory obligations (HMRC accountancy records for 7 years) We will hold any other personal information on our systems for also for a 7 year period.

We recognise that transparency is an ongoing responsibility so we will keep this privacy statement under regular review.

Complaints
